Schedule Voter Information Cards for a Mass Mailing

1. Go to REPORTING > Flexible Reports.
2. On the Flexible Report dialog, in the Data Source box, select Voter Register.
3. In the Output Option box, select Voter Focus Document.
4. On the Select Document to Print dialog, find and click Voter ID Card in the list of documents.
5. On the Voter Management dialog, the field Last Registration Date of Cards to Be Printed lets you exclude voters who have recently received a card. Any voters who were sent a card after this date are omitted from the run. For example, if you don’t want to mail cards to voters who have received a card since the first of the year, you would enter 01/01/YYYY, where YYYY is the current year. To send a card to all voters who meet the other criteria you specify for this run, use today’s date. Click OK.
6. On the Print Voter Card and Labels dialog, select the reason for the card mailout. This reason will be added to the Audit tab of voter records as:

Sent a Voter ID Card | <reason>

To make it clear that the card went out as part of a mass mailing, we recommend you select Printed Through FlexRep. This replaces all cards that are currently scheduled in the Notices Queue for other reasons with a newly scheduled card.

Note: If you are doing a mass mailing of cards only to voters whose normal polling place has changed, select Polling Place Changed.

After making a selection, click OK to return to the Flexible Report dialog.

Note: You might notice that Mailing Address is selected in the Address Selection box. This should not be changed. The card will show the voter's residence address, as required by law, as well as their mailing address for this mailout.
7. If you are limiting the mailing to certain precincts—for example, to precincts where the normal polling place has changed—click Precincts/Districts, Cities/Wards in the Record Selection box, and select the precincts that will receive the mailing.
8. Click Run FlexRep to schedule the voter cards in the Notices Queue. A message displays when the run is finished, indicating how many voters were scheduled for a card.

At this point, if you look at the Activity tab on an Active voter’s record, you will see that a voter card has been requested. For example:
