How to
A change of residential address is considered a voter response when communicated via a signed written notice (such as a voter information card, letter, or vote-by-mail request), a phone call, or an email message.
Voter Focus has two ways to record an in-county address change submitted in writing, by phone, or by email:
Change the address on the voter's Maint tab and record a voter response.
On the Correspondence from Voter dialog, do an Address Change Inside State.
Both procedures accomplish the task with the same end result.
Note We recommend that you consider using the Correspondence from Voter facility for ALL address changes submitted in writing, by phone, and by email. Adopting a single procedure will make training simpler and eliminate user confusion as to which procedure to use.
Note An address change entered at an EViD station automatically schedules a voter information card and updates the last voter activity date on the voter's Activity tab. If documentation such as a voter information card or letter is collected from the voter at the time of the address change, this documentation should be scanned and indexed to the voter's record. Voter-response processing as described in this topic need not be performed for EViD address changes.
To process an address change from a voter response:
Go to VOTER REGISTRATION > Voter Maintenance and do a local search for the voter's record.
On the Maint tab, change the residential address by typing over the existing information in the field.
Note If address cannot be validated against the streets in the database, leave the old residential address in the record until you can contact the voter to confirm the address. Continue with the next step so that a voter response can be recorded, even though the address appears to be invalid.
Click Voter Response.
On the Voter Response dialog, select a value in the Communication Type field that matches the response from the voter.
Enter notes in the Comments field, if you want. Click OK.
Click to save the changes to the voter’s record. Voter Focus will schedule printing of an updated voter information card from the Notices Queue.
Note Scheduling of the card does not occur if the address was not validated.
If you prefer to print the card now:
If the VoterCard program is not already running, go to PRINTING > Voter Card and start it.
Access the voter's record and click Printing.
On the Schedule Document Printing dialog, click Voter Card. The card will print and the scheduled print job will be removed from the Notices schedule.
For more information about immediate printing of a voter information card, see About the Voter Card Program.
If the voter response is a document, scan the document and index it to the voter’s record.
If the address change was entered while the system was not connected to FVRS, the change will be logged as a suspense item. When the FVRS connection is restored, go to the Suspense Queue, find the voter, and process the change to have it sent to FVRS.
After changing a voter’s record from a voter response, you will notice these changes:
On the Activity tab, the last voter activity date is updated.
On the Comms tab, the Communication Type is added to the list of communications.
