Produce Combo Cards

Counties using combo cards—a single mailing to voters that combines an address change notice and an updated voter information card—can set up their Voter Focus system to produce these cards when a third-party address change results in an in-county move for a voter.

To turn on support for combo cards:

Select VOTER FOCUS ADMIN > System Options > Use Combined ACN and VIC.

This feature uses Notice Type 901 and Communication Type 6D. Both are already set up in your system, but if the form layout for the document called Combined ACN and VIC has not been defined, you will need to do this before printing combo cards.

Regardless of the setting of the Use Combined ACN and VIC option, a third-party address change that moves the voter to an in-county address will always cause Voter Focus to schedule the voter for two notices:

With the Use Combined ACN and VIC option selected, a combo card will be scheduled in the Notices Queue in place of these two notices at the time you print either the address change notice or the voter information card. You will then need to print the combo cards from the Notices Queue.

If a combo card is returned as undeliverable mail, you should choose Address Change Notice in the Mail Type field on the Undeliverable Mail dialog.

To schedule combo cards:

  1. Go to PRINTING > Notices Queue.

  2. In the Notice Type column in the list of currently scheduled notices, highlight Address Change Notice or Voter ID Card and click Select Notice.

  3. Select the applicable precincts.

  4. On the Print Notice Run Parameters dialog, click OK.

  5. If you selected Address Change Notice in step 2, skip to step 6.

If you selected Voter ID Card in step 2:

    1. You will be asked to enter the last registration date of cards to be printed. We suggest you accept the default of today’s date. Click OK.

    2. You will then be asked to select the reason for which the voter cards should be printed. Select 3rd party address change. If voter information cards are scheduled for other reasons than a third–party address change, you can select those reasons as well, and the other-reason cards will be printed at the same time the combo card is scheduled.

    3. Click OK to reschedule the voter cards and their matching address change notices as combo cards.

Note  If you see the message There are no notices of this type to process after combining VIC and ACN, it means there are no more voter information cards scheduled by the current operator (or all operators, if Show All Operator's Notices is selected). Simply click OK to dismiss this message.

  1. In the list of scheduled notices, you can now see that the Address Change Notice and the Voter ID Card are no longer scheduled and in their place is a notice of the type Combined Address Change Notice and Voter Information Card.

  2. Highlight Combined Address Change Notice and Voter Information Card and click Select Notice.

  3. Select the applicable precincts.

  4. Select the run-time parameters for this printing on the Print Notice Run Parameters dialog.

  5. Select the printer to which the combo cards will be sent. The combo cards will be printed.

  6. In response to the message Is it OK to update the database with printed records?, click Update to update voter records that the combo card was sent to them. You'll see the entry Combined ACN and VIC on the voter's Comms tab.

The reason code for the scheduling of the voter information card (that is, 3rd party address change) will remain in the notice record after the two notices have been combined.
