From this dialog, you can run these utility programs:

Copy Vote-By-Mail Requests from a Prior ElectionGenerates of mail-ballot requests for a runoff election for voters eligible to vote in the election.

Generate All-Elections/FPCA Requests—Creates Vote-By-Mail requests for the focused election for all-elections and FPCA voters who do not already have requests for the election. See Generate Vote-By-Mail Requests for All-Elections and FPCA Voters.

Remove Unused Default Ballot AddressesDeletes obsolete addresses from the Default Ballot Address fields in voter records.

Send Emails of Candidate Lists to Voters—Allows you to set up and send a list of the candidates for the focused election to overseas voters with a Vote-By-Mail request for the election. See Email a List of Candidates to Voters for more information.

Update Voter Ballot Styles—This utility is available only for elections whose status is Open. It examines each voter with a Vote-By-Mail request for the focused election, determines what their current ballot style should be, and updates the voter's record with the current ballot style. You would want to run this utility when, after using temporary ballot styles, you have assigned permanent ballot styles to precincts and want to see those permanent ballot styles reflected in voter records (and in reports like Count of Absentee Requests by Ballot Style or Canceled and Ineligible Absentee Requests) without having to do a Deliver Ballots run. This utility also updates the ballot styles of voters who have changed precincts or parties, have canceled their Vote-By-Mail request, or have become ineligible to vote in the election. If you are sending out Advanced ballots in the election, those ballot styles are updated also.

Set "Mark As Counted" Flag for Returned Ballots—Run this utility to flag as counted the ballots that were updated in the following ways since the last time the utility was run:

  • All ballots that were recorded as voted.
  • All ballots that were previously returned and referred and were later reinstated.
  • Select the Mark As Counted check box on the Review Returned Ballots dialog for the voters affected by the utility run.
Note:
  • At this time, the counted flag is only used internally. An update to apply this setting may be included in the future.
  • The Allow Send Referral Reason / Counted Flag Status to Web Immediately check box in System Options must be enabled to use this utility.

Pull List of Voter ChangesVote-By-Mail Utilities includes an option to create a list of voter changes made on and after a date that you specify. Ideally, it is the date of your initial Deliver Ballots runs, which is typically done between 65 and 45 days prior to Election Day. The list is limited to voters who: Are included to receive ballots by mail delivery for the election in focus.Had changes on or after the specified date that may affect their eligibility to vote in the election.Your county should pull the list of voter changes at a point between the Deliver Ballot runs and the physical ballot mailing/delivery to capture as many changes as possible while giving ample time to review and react to those changes. Voters who became ineligible or changed to a non-voting party between the specified and present dates are included in the Pull List. Based on the nature of these and other changes, you can then opt to reverse (delete) ballot delivery.
