Export Pollbook Data
Voter Focus provides an easy method to export voter registration data so it can be uploaded to the KnowInk electronic pollbook used in your jurisdiction. Data that is exported from Voter Focus includes details about voters, such as address and name changes, precinct poll locations, mail ballot activity, and ballot styles. All voters that are included in the generated precinct register are included in the exported file. Those voters meet the following criteria:
- An Active (A), Suspense (I), FPCA 90(F), or sent an Address Confirmation Request (S2(A)) status.
- An EDR that is on or before the date that is set in Election Maintenance for Election Date. The EDR respects the 30 days prior to election day deadline because it is calculated as 30 days from the Registration Date.
- For Primary elections, a party affiliation that matches the party that is assigned to the election.
- The DatabaseExportForKnowInk permission allows you to use the Generic Pollbook Export feature.
- Data can flow both ways; you can also import data that is stored in your pollbook into Voter Focus.

The voter data that is included in the exported pollbook file is based on the voters that are included in the precinct registers that are generated for an election. For example, the total number of voter records in the exported file will match the total number of voters exported for a full register. For this reason, you must first generate the precinct registers.
- Run Update Voting History to update voter records with the most recent recorded voting activity.
- Do one of the following:
- Create the book closing totals and generate precinct registers. To do this, run Book Closing Totals to generate the precinct register(s).
- Generate precinct register supplements. This option is only available after running Book Closing Totals at least once.

- Verify the correct election is in focus. If not, click Change Election Status on the Console and select the election.
- Go to Elections > Maintain Election Settings > Generic Pollbook.
- Click Pollbook Export.
- On the Browse for Folder dialog, locate an existing folder location or create a new folder for the exported data and click OK.
- When the export completes, the folder location you selected opens showing the following four tab delimited CSV files:
- pct ballot styles.csv
- pct polling locations.csv
- streets.csv
- voters.csv (Regardless if you chose to run Book Closing Totals or Generate Supplements, all eligible voters are included in the export.)
Each exported file contains a header row, which the KnowInk import uses to correctly recognize and process the data. If needed, the files can be opened in Excel using the Get & Transform feature located on the Excel Data tab.

Follow the same procedure as in Export Data above.
New voters not included in the previous pollbook export and with the following criteria are added to the export:
- An Active (A), Suspense (I), or FPCA 90(F) status.
- An EDR that is on or before the date that is set in Election Maintenance for Election Date. The EDR respects the 30 days prior to election day deadline because it is calculated as 30 days from the Registration Date.
- For Primary elections, a party affiliation that matches the party that is assigned to the election.
Voters who were included on the original register and meet the following criteria are also included in the supplemental export:
- Voters' status changed from Active (A), Suspense (I) to an ineligible (P) status.
- The following changes are reflected for voters already exported who have an EDR on or before the Election date:
- Voter name — Change not reflected when voter's Registration Date is after the Election Date (EDR value must still be before Election Date)
- Date of birth — Change not reflected when voter's Registration Date is after the Election Date (EDR value must still be before Election Date)
- Registration number — Change not reflected when voter's Registration Date is after the Election Date (EDR value still must be before Election Date)
- Voter's residence address — Change not reflected when voter's Registration Date is after the Election Date (EDR value must still be before Election Date)
- FPCA ballot mailed
- ID Required to Vote check box — When selected, affects the status text (see below)
- Voted Early
- Voted Absentee
- Voted Provisional
- Status changes from or to:
- Active (A) to Suspense (I)
- Suspense (I) to Active (A)
- All Other Returned Certs S2(A)
- Precinct
- Ballot style
- Privacy Voter check box — When selected, address information is hidden
- Status text indicating required forms (such as ID Required or Statement of Residence Required) and voting history (such as Voted Provisional, or Voted Early) — Text shown in the VOTER_ELIG_MSG column of the Voters exported file
The following voters are removed from the export:
- For Primary elections, voter's whose party does not match the election's party.
