Status Reason Codes

Note  Status Reason codes are sometimes called Holding Reason codes.

Each voter status code has an associated set of reason codes. In the table below, the reason code is the prefix to the status code, which is shown in parentheses.

Set by the county user or automatically by Voter Focus.

The voter is Active and is eligible to vote.

18(A)

Address Update Required

FVRS code

Set by the county user.

The voter is Active, but the elections office needs an update to their residential address. The note Address Update Required will appear with the voter's name in the precinct register and on EViDs.

2(A)

Reinstate Final Notice/Petn

FVRS code

Set automatically by Voter Focus.

The voter was Inactive but was reinstated when the county office recorded that they returned a final notice or made an address change on a petition prior to enactment of the law prohibiting address changes on petitions.

3(A)

Notice at Poll

FVRS code

Set by the county user.

An obsolete code used prior to implementation of the voter response and communication audit features in Voter Focus to indicate a reason why an Inactive voter was reinstated. This reason code should not be selected but should be retained in existing records.

4(A)

Same as 3(A), above.

Same as 3(A), above.

Same as 3(A), above.

The voter was Inactive but they were reinstated when they were recorded as voting in an election.

Note  Do not use 8(A) for Address Update Required. The correct code for that reason is 18(A).

The reason associated with this code can be changed by the county.

9(A)

Reinstate because AB request

Set automatically by Voter Focus.

The voter was Inactive but they were reinstated when their vote-by-mail request was recorded.

The voter is Inactive due to lack of voter activity.

Note  On some databases, this Reason code is displayed as Inactive/Purged. The term Purged is being deprecated.

Ineligible Status P

Failed to attend Admin Hearing

FVRS code

Set by the county user or automatically by Voter Focus if the administrative hearing feature is used.

This code pertains to the removal of felons from registration rolls. We recommend that you discontinue its use, although you should retain it in existing records.

B(P)

Office errors

FVRS code

Set by the county user.

The voter record was created due to some error on the county’s part. This can be any kind of error; it simply gives you a way to withdraw a record that should not have been created.

C(P)

The voter is now registered to vote in another state. This information usually comes from an out-of-state cancellation notice.

Many counties use this code for voters who have been adjudicated mentally incapacitated.

The voter has registered in another Florida county and the record in your county has been determined by FVRS to be a duplicate. This information comes via CD from FVRS.

Not a U.S. Citizen

The applicant is under 16 years of age.

The applicant did not provide a valid Florida residential address on their application.

Determined to be a fictitious person

The county has determined that the applicant is a fictitious person.

The voter has had no activity for two election years. They were automatically made Ineligible when the county ran the program Move Inactive Voters to Ineligible Status.

The voter pre-registered at age 16 or 17 and is not yet eligible to vote. Voters with this status are made active after they reach 18 when the county runs the program Activate 18 Year Olds.

The voter’s record has been deleted from normal viewing or the voter’s application has been denied.

Voter records are assigned the Deleted status when the county office runs the program Delete Ineligible Voters.
