Perform QA Verification of Voter Applications

1. Go to VOTER REGISTRATION > Quality Assurance Queue.

2. On the Application QA Queue dialog, highlight the row for an applicant and click Select to open the Find a Voter dialog.

If your county usesthe Scan First feature, the digital image of the application indexed to the applicant you selected will appear onscreen next to the Find a Voter dialog.

3. On the Find a Voter dialog, enter the last name, first name, middle name, and date of birth from the onscreen image or paper application. If the applicant provided a driver license and the last four digits of their Social Security Number, enter that information as well. Click Application Search.

If multiple voters match the criteria you entered, you will see them listed on the Voter at a Glance dialog. Examine each one to determine if they submitted the application. If you find the voter, highlight the row where they are listed and click Application is for this Voter to open the Application QA Verification dialog.

 

What if I get an error message?
	Should you select a voter that's different from the one chosen by the previous user, you'll see a message advising you that all changes by the previous user must be reversed manually. Click OK to open the Dismiss QA Application dialog, print out the report of field differences, and remove the application from the queue. 	If the application you select was modified after the previous user worked on it, you'll see a message advising you that the application cannot be QAed. Click OK to create a spreadsheet showing the differences in field values. This will also remove the application from the queue. Then research what happened to determine which field values should remain in the application record.

 

The Application QA Verification dialog is formatted like the Voter Application dialog used to create a new voter or update an existing voter's application. It displays the information entered by the user who did the initial data entry. Adjacent to the active field (that is, the field where the cursor lies), you will see a light-blue value box listing the value entered by the previous user (New Value) and, in the case of updated applications for existing voters, the original value of the field prior to the previous user's change (Old Value):

4. Examine each field and compare its value to the application submitted by the voter. If you need to change something previously entered, tab to the field or insert your mouse cursor, and make the change. Any changes or additions you make will be highlighted in red.

If you find that the previous user selected the wrong voter for the application or there is something wrong with the previous user's data entry that requires offline work to correct or additional research, click Dismiss. This will open the Dismiss QA Application dialog where you can make notes about the problem and produce a spreadsheet listing the new and old field values before the application is removed from the Quality Assurance Queue. You should then take steps to correct the application, which might involve reverse the changes made by the previous user.

5. When satisfied that all entries match the document submitted by the voter, click Save. This will apply any changes you have made and remove the application from the Quality Assurance Queue.

In the voter's record, you will see the notation Application QA Completed on the voter's Comms tab, and any changes you made during the QA process will be noted on their Audit tab.
