Create Voter Labels for Parties and Candidates

Note:  If a candidate requests labels only for Vote-By-Mail voters, you can run the labels from FlexRep as described below, but we recommend you consider running them from the Candidate Labels program, which is a facility designed for this purpose. The Candidate Labels program maintains a record of the Vote-By-Mail voters included in previous label runs for a candidate, so if a candidate requests another label run, the previously included voters will not be included in the new run. This lets candidates request label runs repeatedly without getting duplicate labels. Also, if you have a VR Tower website, labels created by the Candidate Labels program can be posted to the candidate's area of the website.

This topic describes how to create sheets of Avery 5161 mailing labels for voters meeting specified criteria. In the procedure below, we are extracting voters in the Republican primary for a county commission seat. The candidate wants labels for all eligible voters, except those who are overseas, and they want them sorted by zip code. The labels should use mailing addresses where those addresses are available; otherwise the residential address will be used.

The label size is Avery 5161 (4" x 1" laser labels, 2-up). They are output to the screen in Crystal Report format. From there you can print them directly or save them to a PDF file.

  1. Go to PRINTING > Flexible Reports and on the menu, select Voter Register in the Data Source box.
  2. In the Output Option box, select Labels.
  3. In the Address Selectionbox, selectMailing Address.
  4. In the Record Selection box, click .
  5. On the Select Precincts, Districts, Cities, Wards dialog, choose Select a District. In the District Selection box, choose a county commission district. Click Close to save the district selection.
  6. In the Record Selection box, click .
  7. On the Select Voters dialog, select All Eligible Voters and Domestic. Click Close.
  8. In the Record Selection box, click .
  9. On the Select Sex, Race, Parties dialog, in the Select Parties box, use the button to move all parties to the Not Selected pane. Then scroll down in the list to find REP, highlight it, and click to move REP to the Selected pane. Click Close.
  10. In the Sort Option box, select Zip.
  11. Click Run FlexRep. Labels for the voters meeting the criteria will be displayed onscreen in Crystal Reports format.
  12. You have two options for delivering the labels to the candidate:
    • Save (export) the onscreen labels to a PDF file. For instructions, see Export a Report to a File. The file can then be copied to portable media or emailed to the requestor.
    • Print the labels and give the label sheets to the candidate. To select a printer, click and select a printer loaded with label sheets. To print the labels to the selected printer, click .
