Run the Relia-Vote Status Report

Note: Note  This topic is for counties with the BlueCrest (formerly Pitney Bowes) Relia-Vote interface to Voter Focus.

The Relia-Vote Status Report lists all returned mail ballots that have undergone processing by the Relia-Vote system and their status relative to return processing by Voter Focus.

To create the Relia-Vote Status Report:

  1. Ensure that the election you want is in focus.
  2. Go to REPORTING > Reports > Vote-By-Mail Reports > Relia-Vote > Relia-Vote Status Report.
  3. Select the date range for the time period when ballots were mailed, returned, or when the voter signatures were retrieved from the Relia-Vote system.

The report appears onscreen and can be printed to your default printer.

The left side of the report shows the bar code number, voter name, and ballot style and delivery information. It also includes a column called Ballot Disposition. No value in this column means the ballot was accepted or has not yet been processed. A one-letter code means that the ballot was referred to the Canvassing Board, with the code indicating why.

Note: The meaning of each Vote-By-Mail referral code is defined in VOTER FOCUS ADMIN > System Codes > Vote-By-Mail Referral Reasons.

The right side of the report—Pitney Bowes Relia-Vote Interface Details—contains these columns:

Date Image Added—The date the user ran Vote By Mail > Retrieve Return Images to retrieve the image path from Relia-Vote.

Record Lock Date—During processing of a returned ballot, the record for the ballot in the Voter Focus database is locked. When the user has successfully processed the ballot, the lock is released. However if any irregularity occurs, the record remains locked for 24 hours. If a ballot record was locked in this way, this field indicates the date and time the record was locked.

Lock User—If the ballot record is still locked, the user who was working with the record is displayed here. If the 24-hour lock has expired, you will see instead the message lock expired.

Date Processed—The date the mail ballot record was processed as a return, regardless of whether the ballot was accepted or referred to the Canvassing Board. Once a date is in this column, the ballot will not be presented for return processing again.

Image Path—The path to the file where the image is stored.
