Print Notices

For good results, we recommend printing labels from Adobe Acrobat to a Brother QL-700 or QL-800 label printer configured with the following settings:

• Mailing Labels. (Scheduled for Print Application and Reject Request events.) For each voter, one address label is provided in the PDF.
• Ballot Bar Codes. (Scheduled for Print Application, Accept Request, and Reject Request events.) For each voter, a bar code that encrypts the VUID is provided in the PDF.
  Note: When you choose Print Now instead of scheduling to print from Notices, the ballot bar code is included in the same PDF with the mailing label.
• Ballot Batch Labels. (Scheduled for the Accept Request event.) For each voter, the following is provided in the PDF:
• Two labels with the election name, ballot style code, precinct number, and written VUID
• Two mailing address labels
• One label with the election name, ballot style code, and precinct number
• One label with the voter name, election name, election date, ballot style code, precinct number, VUID bar code, and written VUID
Important: You must print Ballot Batch Labels to provide the required voter activity to the STAR export file.
Note: When you choose Print Now instead of scheduling to print from Notices, the ballot bar code is included in the same PDF with the ballot labels.

• Request Application. (Scheduled for Print Application). For each voter, one address label is provided in the PDF.
• Request Rejection Letters. (Scheduled for the Reject Request event.) For each rejection, there is one page for the English version and a second page for the Spanish version. Each page includes the voter's name and VUID in the top-right corner, the selected reason for rejection, and the deadline to submit another application, which is 11 days prior to the election date.

1. Click Notices on the Home screen.



2. Select the applicable election. The number of scheduled notices displays beside each notice type.



3. Select one of the following notice types, and then click Print:
   • Mailing Labels
   • Ballot Bar Codes
   • Ballot Batch Labels
   • Request Rejection Letters
   • Ballot Rejection Letters
   • Request Application

Clicking Print on the Notices screen does the following:

• The total number of letters or labels scheduled for the notice type displays in a single PDF in a new browser tab. Depending on your browser and its settings, you may need to open the PDF from a visual queue. For example:

• The PDF is automatically saved to your machine's Downloads folder, so you have a copy for your records and can reprint, if needed.

1. If you are printing from the Notices queue, first complete the steps under Select Notice Types above.
2. Print the contents of the PDF containing labels and bar codes using Adobe Acrobat:
Note: If you have not done so already, first complete the recommendations in Set Printing Preferences.
1. Open Adobe Acrobat.
2. In Acrobat, browse to and open the PDF file from your Downloads folder. For your easy reference, the default PDF file names are as follows:
   • Using Print Now—The file name begins with the VUID, followed by ballot style, election name, event type, and then print date and time.

     Example: 7548_BS2_Fall General Election_ApplicationLabels_2022-03-02_0815AM

   • Using Notices—The file name begins with the notice type, followed by election name, and then print date and time.

   Example: RequestRejection_DEM Primary_2022-03-02_0815AM

3. Click Print on the Adobe toolbar.
4. On the Print dialog, select the Brother QL-700 or QL-800 printer (recommended), the Actual size and Landscape options.
   
   
5. In the bottom left corner, click Page Setup.... The Page Setup dialog displays.
   
   
6. Set Paper Size to 1.1", then click OK to return to the Print dialog. Click Print.
3. For applications and rejection letters, you can print from your Downloads folder. Or, you can also print the letters from the new PDF browser tab using the Print icon.



4. Close the PDF browser tab(s).

If you need to replace labels that were already printed, you can reprint them from Voter Details. You can print up to five copies of the following:

• Election name, ballot style, and VUID
• Mailing label
• Election name and ballot style
• Voter's name, election information, and VUID bar code
• Ballot bar code

1. From Voter Details, click Reprint Label in the Voter box.



2. Select any option in the list of labels to view a sample of the label layout on the Reprint Labels dialog.



3. Click Print. Each time you click Print, a PDF containing your selected label displays in a new browser tab and is saved in the Downloads folder on your machine.
