Reasons Why Notices Are Scheduled

Here are most of the typical circumstances under which a notice is scheduled.

Voter Information Card

Registration of a new voter (scheduled by FVRS)

A voter from another county moves into your county

Change to voter's residential address

Third-party address change and voter has mailing address

Change to voter's district or precinct due to redistricting

Change to voter's party

Change to normal polling place where voter's precinct votes

Voter signs petition with new residence address and checks Address Change box

Voter turns 18 or will turn 18 by a specified date

User schedules notice for voters found by FlexRep run

Address Change Notice

Third-party address change and voter doesn't have mailing address

Cancelled Requests Notice

Mail ballot sent to voter is returned undeliverable by USPS and voter has vote-by-mail requests for upcoming election(s)

Denial of Registration Notice

Applicant's registration is denied by Supervisor because they fail to meet registration criteria (citizen, not a felon, etc.) (usually scheduled by FVRS)

Eligibility Maintenance—Notice of Potential Ineligibility (various types)

Processing voters who are subject to eligibility maintenance.

Eligibility Maintenance—Notice of Final Determination/Notice of Ineligibility

Processing voters who haven't responded to Potential-Ineligibility Notices

Final Notice/Address Confirmation Request

Mail Ballot sent to voter's residence or mailing address is returned undeliverable by USPS

Undeliverable mail with no change-of-address notice

NCOA processing of voter who moved without providing USPS with a forwarding address

Duplicate-match processing in Eligibility Maintenance where user selects option to schedule this notice

Third-party address change to out-of-state address

Third-party address change but new address can't be validated by system and voter doesn't have mailing address (Address Confirmation Request only)

Biennial list maintenance for all active or all inactive voters (Address Confirmation Request only)

Incomplete Registration Notice

Applicant fails to provide all required information on their voter registration form (usually scheduled by FVRS)

Notice of Temporary Polling Place Change

Precinct is moved to a different polling place for a single election

Petition Address Change Notice

Voter signs petition with new residence address and but doesn't check Address Change box

Provisional Disposition Letter

Run the Schedule Provisional Disposition Letters program to schedule notices to voters who cast provisional ballots in an election.

Registration Application Denial

Voter's application is denied (scheduled by FVRS)

Signature Update Request

Run the Send Documents to Voters on Excel Spreadsheet program to schedule notice to voters with no signature on file

Vote-by-Mail Notification Postcard

Free Access Notification run schedules non-email recipients for notice

Vote-by-Mail Referral Notices

When referring a mail ballot to the canvassing board because the ballot signature does not match the signature clip in the voter's record. (Signature Update Request Letter).

When referring a mail ballot to the canvassing board for any other reason (Absentee Referral Notice).
