Release Ballot

To access:  VOTER REGISTRATION > Voter Maintenance > {voter} > Vote-By-Mail > {election} > Request Status > Release Ballot 2nd/3rd Ballot

This dialog records issuance of a ballot to a voter who previously requested a mail ballot. You can record first time and replacement ballots here.

The delivery method requested by the voter is displayed in the Requested Delivery field.

How Delivered

Select the method by which the mail ballot is issued:

Mail Ballot Next Deliver-Ballots Run—Schedules printing of an absentee label for the voter for next ballot label run, so that the voter will receive the ballot by mail.

Fax Ballot Next Deliver-Ballots Run—Adds the voter to the queue of those who have requested delivery of their ballot by fax. The voter will appear in the report generated by the Deliver Ballots run for Fax delivery voters.

Email Ballot Next Deliver-Ballots Run—Adds the voter to the queue of those who have requested delivery of their ballot by email. The voter will appear in the report generated by the Deliver Ballots run for Email delivery voters.

Provide Ballot to Be Taken Away—Records the ballot delivery as a pickup from the office.

In Office Absentee Ballot—Records the ballot delivery as an in-office absentee vote.

Fax Ballot to Voter—Select if the ballot is faxed to the voter immediately rather than being queued for the next Deliver Ballots fax run.

Email Ballot to Voter—Select if the ballot is emailed to the voter immediately rather than being queued for the next Deliver Ballots email run.

FWAB Ballot Received from Voter—Select if the voter sent in a Federal Write In Absentee Ballot. (The delivery method will be recorded as a pickup.)

Online Ballot/Tabulation System—Select if your county participates in the Federal Voting Assistance Program (FVAP), which allows UOCAVA voters to request and receive ballots online.

Accessible Online—Select if the ballot is delivered to the voter via an accessible online method.

Ballot Style

This is a display field that shows the ballot style of the ballot issued to the voter. If you see XXX in this field, it can mean one of several things:

  • The voter might not be eligible to vote in this election because they changed their party affiliation or residence address.

  • Ballot styles for the election have not been assigned to precincts.

  • The voter is a Fed Elections Only voter and the federal election ballot style for the election hasn't been designated.

When the Deliver Ballot runs are performed, the run that includes this voter reevaluates their voter status, precinct, and party to determine their ballot style. If the voter is eligible, the XXX is replaced with their ballot style.

Ballot Number

This field appears if you select any of the How Delivered options other than Mail Ballot Next Deliver-Ballots Run. If your county uses ballot numbers, enter the number here.

Date Released

The timestamp defaults to the current date and time, but you can change this if the ballot was released at an earlier time.

Vote-By-Mail Address

Opens the Vote-By-Mail Addresses dialog.

Save and Print

Saves the request and prints a Replacement Vote-By-Mail Information Sheet to your default printer. You can use this sheet to verify the correct information was entered into the database. Some counties attach the sheet to the Vote-By-Mail request, if a paper request is available.

OK

Saves the request without printing the Vote-By-Mail Information Sheet.

If Voter Focus is set up to print labels for in-office or pickup absentees, a bar-code label(s) with the voter, election, and ballot information will print. Labels should be affixed to the ballot materials in accordance with your office procedures. Label printing for in-office and pickup absentee voting is controlled in VOTER FOCUS ADMIN > System Options > Vote By Mail > Vote-By-Mail Label Options.
