To access: VOTER FOCUS ADMIN > System Utilities > Voter Utilities > Clear Temporary Vote-by-Mail Statuses
Voters who request a mail ballot for one or more elections in a cycle, but who did not request all elections or who are not FPCA voters, are usually assigned the vote-by-mail status of Temporary.
At the end of an election cycle, it's good practice to change the status of all Temporary mail-ballot voters to Canceled. This will ensure that, at the beginning of the new election cycle, the voters who are classified as mail-ballot voters are Permanent vote-by-mail voters. Temporary mail-ballot voters whose status is changed to Canceled and who want to vote by mail again will need to request ballots for the upcoming election or election cycle.
This utility should be run on a quiet system after the yearly election cycle is finished.
The Clear Temporary Vote-by-Mail Statuses utility performs two tasks:
Deletes the default ballot address and all Ballot Address for This Election addresses for voters whose vote-by-mail status is Temporary or Canceled.
Changes the vote-by-mail status of all Temporary voters to Canceled.
The utility does not affect a voter record if it meets one or more of these criteria:
Contains an all-elections request that has not yet expired.
Has outstanding vote-by-mail requests.
The vote-by-mail status is Permanent or FPCA.
