Set Election Options

Important: If your EViD software is integrated with Voter Focus, refer to the Election Maintenance dialog help topic in Voter Focus. The information in this topic is relevant to the non-integrated EViD Manager software.

You configure or modify election options, such as dates and election type, on the Election Maintenance dialog that is located on the Elections tab.

Election information and settings are set automatically when the election is created in EViD Manager by the import process; however, you may be required to adjust or add settings after the import is complete. The Election Maintenance program enables you to do this.

On the Election Maintenance dialog, you can add or modify the following settings:

  • Election Name—The name of the election — how it should appear on the EViD Workstation devices and in reports.
  • County Election ID—The County Election ID is the state-assigned election number that is used for General and statewide elections. When assigned by the state, this number is required.
  • Election Date—The date the election is scheduled to occur.
  • Registration Cutoff Date—The date when registrations are no longer accepted for voting in the election.
  • Registration Correction Date—The final date a voter may submit a complete voter registration form in order to be determined eligible to vote in the election.
  • Canvass Date—The date of Canvass, after which election results should be available. This date is included on printed tickets given to provisional voters to advise when they may have access to status of their ballot.
    Important: This date is not included in the import process that creates the election. You must enter this date manually.
  • Voter Age Cutoff Date—By default, this is set to the same day as Election Day. You can enter a custom date that should be used to determine the voter's age for eligibility purposes.
  • Note: In a Primary election, when voters are eligible to vote if they will be 18 by the date of the next General Election, the cutoff date should be the date of the General Election.
  • Early Voting
    • Start—The first day of Early Voting.
    • End—The last day of Early Voting.
  • Election Type—Sets the election as either General Or Top N Election or Primary Election.
  • Election Status
    • Open—When you add an election, the status is automatically set to Open. You should leave the election in Open status until all voting activity for the election has been recorded, reported, and reconciled.
    • Closed—Change the election status to Closed after all voting activity for the election has been recorded, reported, and reconciled. Closing an election does not remove data for the election from your county databases. The election may be included for reporting purposes and may be selected in Web Monitor.
    • DeletedCaution! Change the election status to Deleted only when all traces of the election should be removed from your county databases. The election will no longer be available for selection in Web Monitor or for reporting purposes.
  • Group With Election—Allows you to group elections by entering another election name or number so that a validation between elections (for example, voted in one election and thus cannot vote in another election in the same group) can be completed.

    We strongly recommend you group together primary and primary runoff elections as well as any elections for which party-specific ballots will be issued. This ensures that voters can only vote in one party’s election.

    If a voter has voted in an election that is grouped with the election an operator is checking in voters for, the voter is indicated as voted on the Verify Voter Information screen.

Copy Options

The EViD Manager Import process automatically copies data from the previous election, so in normal situations, there shouldn't be a need to manually copy data. However, on the Election Maintenance dialog, you can click Copy Options to select another election from which to copy data to the election that is in focus.

The copied data is that which does not often change from election to election, including:

  • Election options
  • Workstation roles and role permissions
  • Polling place officials
  • Provisional reasons
  • Voter identification types
  • Voter statuses
  • Undo reasons
